Information we collect
The information we receive depends on how you contact us. We collect information that you choose to submit through our website forms or Meta Instant Forms. The forms display the fields requested at the time you submit them; those fields may change as our courses and processes change. In general, they may ask for:
- Registration and waitlist requests: parent or guardian contact information, information about the student, requested course and start options, device access, participation format and location preferences, optional availability or support notes, and required acknowledgement records. An open-course registration form may also request a billing address and typed name/date to record acknowledgement of the request.
- Course suggestions: the course idea, related interests, and optional contact information.
- Course work: work participants create or choose to share with us during a program, and any demo material they voluntarily provide.
- Meta Instant Forms: contact and other information requested in the specific Meta form. The form explains that Visual Creators Academy may contact you to follow up.
- Website usage: browser, device, and interaction information, if you allow the optional analytics or advertising tools described below.
Please review the fields and any explanation shown on the form before submitting. We use the information for the purposes described in this policy and do not ask for highly sensitive information. Please avoid including sensitive or unnecessary personal details in optional notes. If we materially change the kinds of information we collect or why we collect it, we will update this notice and provide any additional notice or consent required by law.
How we use information
We use submitted information to:
- respond to your enquiry or course suggestion;
- review registration and waitlist requests and follow up about course details;
- understand preferred delivery formats and areas when considering class logistics;
- administer a course, including billing administration, and provide instruction and feedback if you enrol; and
- share a participant’s work publicly only with separate permission from the participant and, if they are a minor, their parent or guardian.
Our website registration, waitlist, and course-suggestion forms include a separate, optional marketing checkbox. Submitting a form without selecting it does not sign you up for promotional email. A Meta Instant Form submission by itself is not permission to send promotional email. If you opt in, we may email you about future courses and programs. You can withdraw consent at any time using the unsubscribe instructions in a promotional email or by contacting us.
Who receives information
The business owner can access enquiries through the business email and the relevant service accounts. Website forms are submitted to Formspree for processing. Meta Instant Form responses are collected through Meta’s platform. These providers handle information under their own privacy practices: Formspree Privacy Policy, Meta Privacy Policy.
The site also loads fonts from Google Fonts. Course-preview thumbnails and videos are provided by YouTube; choosing to play a video loads its embedded player. Those requests may share browser, device, and network information with Google or YouTube.
The open-course registration form may offer optional Google Places address suggestions. If you use them, the address text you enter is sent to Google to provide suggestions; selecting a result fills the address fields in the form. You can instead enter your address manually or use your browser’s address autofill. Google handles that information under its Privacy Policy.
These providers may process or store information outside British Columbia or Canada, depending on the service and its configuration. Information handled in another jurisdiction may be subject to that jurisdiction’s laws.
We may use service providers to collect registration details, manage enrolment, or process payments. The services used may change over time; the form or payment page will identify the provider involved in that transaction. We will update this notice if a change materially affects the kinds of information collected, how it is used, or who receives it.
Analytics and advertising
Pages with our tracking-consent controls offer optional Google Analytics and Meta Pixel tracking. Neither tool is loaded unless you allow its category through the privacy choices panel. Analytics and advertising can be selected separately. If allowed, these tools may use cookies or similar browser technologies and receive website usage, browser, and device information. Google Analytics is used for website measurement. The Meta Pixel can record a PageView and a Lead event when an open-course registration request is successfully submitted.
Google and Meta handle information under their own privacy practices: Google Privacy Policy and Meta Privacy Policy. Your choices are saved in this browser’s local storage so we can remember them. Use the “Privacy settings” button available on our pages to change or withdraw a choice. If the browser cannot save your preference, optional tracking remains disabled for that page.
Retention and security
We keep enquiry information while we respond and follow up, then remove copies in our control when the request is resolved and no further follow-up is needed. We keep waitlist information while administering the requested waitlist, then remove copies in our control when it closes or is no longer relevant. If you enrol, we keep relevant records as needed for course administration and applicable legal or accounting obligations. Formspree and Meta may retain information under their own practices and retention settings. We do not use these submissions alone for future promotional emails.
Access to submissions is limited to the business owner through the business email and relevant service accounts. Information is handled by the third-party services described above; their storage and security practices are governed by their own terms and policies.
Your choices and requests
You may contact us to ask about personal information we hold about you, request a correction, or withdraw consent for an optional use. We will respond to requests in accordance with applicable privacy law. Unsubscribing from promotional email does not prevent us from replying to an enquiry or sending necessary course administration messages.
Our privacy practices are intended to operate in accordance with applicable British Columbia and Canadian privacy laws, including the Personal Information Protection Act of British Columbia and, where applicable, the Personal Information Protection and Electronic Documents Act.
