Requests and enrolment
The website form is an enquiry or registration request, not a confirmed enrolment or payment. We follow up by email with course-specific details, including the schedule, delivery format, any in-person location, total amount due, and the applicable cancellation deadline. You can review those details before deciding whether to proceed or pay. Submitting the website form does not reserve a place.
Programs may have age or eligibility requirements, which will be shown in the relevant course information and registration form. Where a participant is a minor, a parent or guardian may need to provide information or complete steps on the participant’s behalf.
Course fees and payment
Fees, what they cover, any applicable taxes, and available payment methods vary by program. The relevant course information and payment instructions will state the amount due and what is included before you decide whether to enrol or pay. A form described as an enquiry, waitlist, or registration request is not itself a confirmed enrolment or payment.
Third-party tools or services used in a program may have separate account requirements, terms, or usage-based charges. These charges are separate from program fees unless the course information expressly says they are included or paid by Visual Creators Academy. Because charges may depend on platform pricing and actual usage, we may not be able to determine or quote the exact amount before enrolment.
Family cancellations and refunds
To cancel a paid registration, email info@visualcreators.ca. A full tuition refund is available if we receive your cancellation at least:
- 14 calendar days before the first scheduled class for an online course; or
- 30 calendar days before the first scheduled class for an in-person course.
Cancellations received after the applicable deadline are not refundable under this policy, except where a refund is required by applicable law or stated in writing by Visual Creators Academy. These deadlines are measured from the confirmed first scheduled class date. The applicable deadline will be provided with the course details before you decide whether to proceed or pay. Nothing in this policy limits rights that cannot be excluded under applicable consumer protection law.
If a participant misses a scheduled class, we do not provide a make-up class, credit, or refund for that absence.
Changes or cancellation by Visual Creators Academy
If we cancel a course, we will refund tuition paid for classes that will not be delivered. If we make a material change to agreed course dates, delivery format, or location before the course begins and you do not accept the change, you may cancel for a full tuition refund. If a material change occurs after the course begins and you choose not to continue, we will refund tuition for the classes not yet delivered.
Student participation
Equipment, software, account, and setup requirements vary by program and will be provided with the relevant course information. Participants must follow the instructions provided for the program and any applicable third-party account requirements.
Generative AI platforms and third-party tools
Programs may use Generative AI tools to create or transform text, images, audio, video, or other media. We will provide access to the platforms selected for a program and instructions and guidance for using them safely and appropriately. We select platforms with the participant age range and learning activities in mind. Third-party providers operate their own services, accounts, and content systems; we cannot control their availability, terms, data handling, or outputs, and platform features or requirements may change.
Some platforms or features use pay-as-you-go pricing or charge for subscriptions, credits, usage, or computing. These third-party charges are the responsibility of the participant or, where applicable, their parent or guardian, unless the relevant course information expressly says the cost is included or paid by Visual Creators Academy. Usage-based charges can vary with use and provider pricing, so we cannot promise an exact total in advance. We will identify platforms we expect participants to use and share available pricing or account information when practicable; participants and guardians are responsible for reviewing provider terms and monitoring any charges on their accounts.
For a participant who is a minor, their parent or guardian is responsible for reviewing and accepting any applicable third-party platform terms, ensuring the participant is permitted to use the platform, and supervising any third-party account or charges. A minor must not create an account or incur charges without the parent or guardian’s permission.
Participants are responsible for their use of third-party platforms, including prompts and other material they submit, and Generative AI content they choose to create, edit, save, or share. They must review generated content before using or sharing it, follow the platform’s terms, our class instructions, and applicable law, and must not use the tools to create or share unlawful, harmful, or inappropriate content. We provide instruction and supervision appropriate to the program, but cannot guarantee or control every output produced by an external platform.
Participants retain ownership of work they create, subject to applicable law and the terms of any third-party platform they use. We do not claim ownership of that work. We may show work within the program for teaching, feedback, or a student demo. We will not use a participant’s work in public promotion, including on our website, social media, or advertisements, unless we first obtain separate permission from the participant and, if they are a minor, their parent or guardian. Permission will identify what may be shared; saying no will not affect participation in a program.
